Microsoft Outlook for WIL (Built Environment)

This course is designed for Work-Integrated Learning (WIL) students within the Built Environment Faculty, including Quantity Surveying and Construction Management. It focuses on developing practical Microsoft Outlook skills required in professional construction and project-based workplaces.

Students will learn how to navigate Outlook confidently, write and manage professional emails, schedule and respond to meetings, organise calendars, and track tasks and deadlines effectively. The course emphasises real workplace scenarios, helping students understand how Outlook is used in offices, on projects, and within multidisciplinary teams.

No prior Outlook experience is required. By the end of the course, students will feel confident using Outlook to communicate professionally, manage their workload, and meet the expectations of supervisors and project teams during their work-integrated learning placement.

Course Content

Outlook’s New Interface
In this lesson, students are introduced to the new Microsoft Outlook interface through a guided tour of its main components. The lesson explores the overall layout, search bar, ribbon options, navigation menu, inbox, and reading pane to help students understand how Outlook functions in a professional work environment. This lesson is designed to build confidence for students who are new to Outlook by helping them become comfortable navigating the interface, locating key tools, and understanding how different areas of Outlook work together for communication, scheduling, and daily workplace tasks.

Apperance and Themes
By the end of this lesson, students will be able to navigate the Outlook Settings menu, access the General and Appearance options, switch between light, dark, and system-based modes, and apply custom themes. Students will gain confidence in personalizing Outlook to improve comfort and usability, preparing them to work efficiently and professionally during Work-Integrated Learning and in industry environments.

Composing and Sending Professional Emails
In this lesson, students gain practical skills in composing and sending professional emails using Microsoft Outlook. They learn how to navigate between the reading pane and separate email windows, manage recipients, subject lines, BCC, and mentions, and use advanced formatting tools to create clear and professional messages. The lesson also covers attaching files, inserting tables and images, using emojis where appropriate, and leveraging cloud-based features such as inline file insertion. Students practice scheduling emails for optimal delivery and develop confidence in using Outlook’s tools effectively, preparing them for professional communication during Work-Integrated Learning and future workplace environments.

Setting Up and Organizing Your Inbox
In this lesson, students learn how to set up and organize Microsoft Outlook to manage multiple email accounts effectively. They explore inbox management techniques such as using Favorites, creating folders and subfolders, and organising the navigation pane. Students gain practical experience with Conversation View, message previews, searching, filtering, and sorting emails, helping them manage long threads and quickly locate important information. The lesson also covers inbox customization to suit personal and professional workflows. By completing the practical activity, students develop confidence and independence in using Outlook efficiently for daily professional communication during Work-Integrated Learning and future workplace environments.

Advanced Inbox Customization and Outlook Calendar
In this lesson, students develop advanced skills in customizing their Outlook inbox and using the calendar to manage professional schedules efficiently. They learn to adjust inbox layouts, reading pane positions, message density, Focused Inbox, and conversation grouping to suit their personal workflows. The lesson also guides students through calendar functions, including creating, filtering, and managing appointments and meetings, navigating multiple views, sharing calendars, and configuring work hours, time zones, and locations. Advanced tools such as online meeting setup, bookings, and automated event creation are introduced to improve productivity. By the end of the lesson, students will confidently use Outlook’s inbox and calendar features to communicate professionally, manage time effectively, and support their Work-Integrated Learning experience.

Managing Tasks with Microsoft To Do
In this lesson, students gain practical skills in using Microsoft To Do to manage tasks efficiently within Outlook. They learn to plan daily activities using My Day, create and prioritize tasks, set reminders and recurrence, and organize tasks using categories and grouping. Students also explore turning flagged emails into actionable tasks and managing assignments from Microsoft Planner, centralizing responsibilities in one workspace. By the end of the lesson, students will confidently use To Do to stay organized, manage their workload effectively, and demonstrate professional accountability, focus, and time management during Work-Integrated Learning and in the workplace.

Advanced Email Management in Outlook
In this lesson, students develop advanced skills for professional email management in Outlook. They learn to compose emails efficiently using keyboard shortcuts and advanced composition tools, apply spelling, grammar, and accessibility checks, and schedule messages appropriately. The lesson covers controlling message fields, requesting delivery and read receipts, applying importance, encryption, and permissions, and managing inbox messages through archive, ignore, pin, snooze, and delete. Students also master flagging emails for follow-up and using Microsoft To Do for task management, while applying and customizing categories to stay organized. By the end of the lesson, students will confidently manage complex inbox workflows, maintain professional communication standards, and enhance productivity in workplace environments.

Automating Email Actions with Quick Steps
In this lesson, students learn how to use Quick Steps in Microsoft Outlook to automate repetitive email actions. The lesson demonstrates how to bundle multiple actions—categorizing emails, moving them to folders, and forwarding to specific contacts—into a single Quick Step. Students are guided through creating, naming, and saving a Quick Step, as well as testing it to ensure emails are processed correctly. This practical approach allows students to handle large volumes of emails efficiently, helping them stay organized, maintain professional communication, and save time in workplace settings such as construction sites, project offices, and during Work-Integrated Learning placements.

Automating Your Inbox with Rules
In this lesson, students learn how to use Outlook Rules to fully automate inbox management. They explore how Rules differ from Quick Steps by running automatically in the background based on defined conditions. Students practice creating Rules that move, categorize, and forward emails without manual effort, as well as managing rule priority and applying Rules to existing messages. By mastering Rules, students reduce inbox clutter, save time, and maintain control over high-volume professional communication, preparing them for real-world workplace demands during Work-Integrated Learning and professional practice.

Calendars, Meetings, and Appointments
In this lesson, students develop advanced skills in managing the Outlook calendar for professional use. They learn how to access the calendar efficiently, work with multiple calendars, and create appointments and meetings both inline and through the full event window. The lesson covers inviting attendees, using the Scheduling Assistant, adjusting meeting times and durations, categorizing and marking events as private, and updating or rescheduling meetings easily. By the end of the lesson, students will confidently use Outlook’s calendar tools to plan, coordinate, and manage meetings and appointments effectively during Work-Integrated Learning and in professional workplace environments.

Managing Multiple Calendars and Split View
In this lesson, students learn how to manage and display multiple calendars in Outlook using Split View and overlaid calendar views. They explore how to view calendars side by side to compare schedules or combine them into a single view for a complete overview of events. The lesson demonstrates how to customize calendar colors and icons to clearly identify different schedules. By mastering these tools, students gain better control over their time, avoid scheduling conflicts, and manage complex schedules effectively during Work-Integrated Learning and in professional workplace environments.

Sharing and Printing Calendars
In this lesson, students learn how to share and print calendars in Microsoft Outlook to support collaboration and professional planning. They explore how to share calendars with colleagues, assign suitable permission levels, and manage or adjust sharing settings as needed. The lesson also demonstrates how to print calendars in various formats, including detailed agendas and time-specific views, making it easier to communicate schedules in office and site-based environments. By the end of the lesson, students will be able to use calendar sharing and printing tools confidently to support teamwork, scheduling, and professional communication during Work-Integrated Learning and beyond.
